# Calendar & planner: the taken hours are visible before you book

This page contains AI-generated content.

> The planner shows when a connected calendar is already taken and suggests free times around it; colleagues see your hours as taken, nothing more.

**Status:** Alpha — Built on request. The app says so where you use it and asks what is missing.
**On the broker’s path:** Deals

**The problem this solves:** A viewing is offered at a time the agent already has in their own calendar, and the planner shows nothing of it.

**In short:** Connect your Google, Microsoft or Apple calendar. The planner shows the hours it
holds as taken, suggests free times around them, and writes your viewings, call-backs and
appointments into it. Colleagues see your hours as taken, never why.

## Connect a calendar

- **Google.** Connect a Google account under „Kalender“. Appointments are written into it.
Reading Google calendars has a limit for now, see Limits and notes.
- **Microsoft.** Connect a Microsoft 365 or Outlook account the same way. Appointments are
  written into the Outlook calendar.
- **Apple and other CalDAV calendars.** Enter „iCloud“ or the address of an https CalDAV server,
your user name and an app-specific password. The app keeps the password sealed on the server.

## The panel

Under „Kalender“ in the planner, each connected account lists its calendars, one row each: its
colour, a box to show or hide it and a box „Zählt als belegt“ (counts as busy). The choices are
kept on the server, so they follow you to another browser. „Kalender aktualisieren“ reads an
account's calendars again.

## Your own events and what is taken

Your own events from the calendars you show appear in the day and week views with their title,
time and colour. All-day events sit in a lane at the top of the day; away and focus time are
hatched. Taken time follows the provider's own word: Google's free/busy setting of each event,
and Outlook's show-as status (busy, out of office, tentative).

## What colleagues see

A colleague who plans for you sees your taken hours as hatched „Belegt“ blocks, and nothing more:
never the title, never what the appointment is, never which calendar or account holds it.

## Planning with free time

The planning dialog suggests the first time when the person is free in their connected calendars
and in Capitality, inside the firm's hours. A time you type that is taken is said so under it;
you can still plan it, nothing is blocked. The firm's rooms, cars and devices can be picked too:
the suggestion skips their busy times, and a room picked stays reserved with the planned card.

A card with a time of day, assigned to a member, becomes an appointment in that member's
connected calendars. All-day tasks stay in Capitality. A planned appointment says „Im Kalender“
once your calendars have it, „Wird eingetragen …“ while it is on its way, and offers „erneut
versuchen“ when a calendar did not take it.

## Booking pages

Under Settings, „Buchungsseite“ sets your weekly hours and zone, the lengths offered, the lead
time, breaks, a maximum per day and whether you confirm by hand, and gives you a link to share.
A member can have more than one page, each with its own hours.

A client opens the link and picks a free time without signing in; a Turnstile check keeps out
bots. The page shows your name and the free times, nothing else about you. A confirmed booking
becomes an appointment in your calendar, and the client gets a link to their booking. The page
speaks the firm's market language: German for Germany, Austria and Switzerland.

## Meeting links

A planned appointment can carry a meeting link. „Meeting-Link hinzufügen“ in the planning dialog
offers none, a pasted https link, a Google Meet, or a Microsoft Teams call. For Meet and Teams
your connected calendar makes the call, and its link shows once the calendar has made it.
„Teilnehmen“ opens the link on the appointment, on its card, in the time grid and in the agenda.

A call can be taken off again; the appointment keeps its time. On an appointment with an invited
guest, removing a call is done on its card, and the assistant's tools refuse to add one there.

## Offline

Without a connection the planner shows the range you loaded last: appointments, your own events
and taken times, with an „Offline“ marker and the time it was kept. Nothing can be created, moved
or changed until you are back online, and nothing is saved for later. The range stays on this
device for you and this workspace only, is replaced by the next range you load, and is deleted
when you sign out. A colleague's taken times are never kept.

## Proposals when a viewing moves in your calendar

A viewing with an invited buyer is not moved silently. When it is moved or deleted in your
calendar, the card and the planner say „Im Kalender verschoben auf …“ or „Im Kalender gelöscht“,
with two buttons:

- „Übernehmen und Käufer informieren“ moves the viewing to the new time, or cancels it, and the
  buyer is told by mail.
- „Im Kalender zurücksetzen“ writes your time back into the calendar and tells nobody.

Nothing reaches the buyer before the first button. If the appointment changed meanwhile, the
question is asked again.

## Tools for the assistant

The assistant and the app call these tools by name. A tool that writes asks a person first only
where the „Approval when“ column says so; a person who presses the button decides for themselves.
With the calendar off for a firm, each of these tools answers that the calendar is off.

| Tool | Reads or writes | Approval when | What it does |

A person is told of a clash and may go on; the assistant is refused a taken or out-of-hours time and picks a free one. |
| `calendar.appointment.move` | writes | the assistant moves an appointment with guests | Moves an appointment to a new time. An appointment with invited guests moves only when they are told; a move the assistant makes that way waits for a person. |
| `calendar.appointment.cancel` | writes | the assistant cancels | Cancels an appointment; it stays, struck through. A cancel cannot be taken back. |
| `calendar.reminder.send` | writes | never | Nudges the owner of an upcoming appointment in their inbox. It cannot be taken back. |
| `calendar.conference.attach` | writes | never | Puts a meeting link on an appointment: a pasted https link, or a Google Meet or Microsoft Teams call that the connected calendar makes (its link shows once the calendar made it); or takes the call off. An appointment with an invited guest is refused. It can be undone. |

## What stays private

- Your event titles, and the calendar or account an event sits in, are yours alone.
- A colleague sees your taken time as „Belegt“, never what it is.
- A calendar you connect for yourself is not visible to the firm, and the firm does not see which
calendar or account it is. A colleague may still notice a busy block.
- The public booking page shows only your name and the free times.
- A viewing's copy in a connected calendar names the object, never the buyer.

## Limits and notes

- **A Teams call stays in the Outlook appointment.** Taking a Teams call off here removes the link
from the appointment, but Microsoft does not let the meeting itself be removed from an event
this way. The meeting stays in the Outlook appointment; remove it in Outlook if it should go.
- **Apple and other CalDAV calendars have no push.** The app asks the server on a timer, so a
change made in such a calendar shows after the next check, not at once.
- **Reading Google calendars waits for Google's verification.** Reading a Google calendar needs
read access that Google reviews. That review is still pending, so Google calendars are not yet
read in the planner for every firm.
- **Alpha, switched on per firm.** We switch the calendars on firm by firm; tell us when you want
to be in. The app says so where you use it and asks what is missing.

- App 0.37.3: With a screen reader, calendar days are read with their full date, and removing a linked record says which one.

- App 0.30.0: The calendar stays usable while appointments load or before there are any, so you can book the first one.

- App 0.25.0: The calendar can show a single colleague's appointments, and the link keeps that view for sharing.
- App 0.25.0: In the calendar's month view, a deal spanning several days appears as one bar, not as a row of separate appointments.

- App 0.11.1: Rescheduling in the calendar feels safer and quieter, with an Undo that waits long enough to use.

… and 2 older changes.
