# Contacts: owners, buyers and tenants in one book, with their consents

> Owners, buyers and tenants in one directory: who is responsible, every consent with its date and source, the GwG check, and bulk actions like in a mail app.

**Status:** Available — In every workspace, documented here, with its changes listed on its page.
**On the broker’s path:** Leads & enquiries

**The problem this solves:** Owners, buyers and tenants live in three address books, consents are nowhere, and a GDPR request means a search through mailboxes.

**In short:** Owners, buyers, tenants and the companies behind them live in one directory.
Each contact shows who in the team is responsible, every consent they gave with when and
where, their search profile and the matching listings, and what the firm must keep for the
money-laundering check.

## What you can do

- **Hand over and find.** Each contact shows which colleague is responsible and can be
handed to someone else in one choice; a phone number is found however it was typed.
- **See every consent in one place.** Advertising, exposé, data — each with the date and
the place it was given. A consent request that could not be sent says so until the next
  try.
- **Pass the GwG check properly.** The check asks whose money it is — the party's own or
someone else's — with the beneficial owner and how you established it; it can be read by
the owner and the admins only, and completed by admins only if the firm wants.
- **Work in bulk.** Shift-click a run, right-click for what to do with them; put ticked
contacts on a board or off it in one step, and undo a wrong pick.
- **Address people right.** Pick „Frau“ or „Herr“, and every follow-up mail greets them as
  „Guten Tag Frau Kunz,“.
- **Keep companies together.** Filtered lists keep people under their company's name; a
contact's page tells „link a company“ apart from „new company“.
- **Group and filter.** By city, by advertising consent, by board — so you see at a glance
  who may receive your newsletter.

## How it works

A contact is one record that every other feature points to: an enquiry names it, a deal
has it as a party, a viewing invitation goes to it, a signature request asks it. Mentioning
a colleague with @ in a contact note tells them straight away. Starred boards and deals
follow you to every device.

## Limits and notes

- A deleted contact can be restored for fifteen minutes; after that it is erased and leaves
a proof that it is gone — see [Privacy & retention](https://docs.capitality.io/features/privacy/).
- Contacts from ImmoScout24 enquiries say so beside their consent and follow that portal's
  deletion rules.

## New in this feature

- App 0.41.0: Each contact now shows which colleague is responsible for it, and you can hand it to someone else in the team with one choice.
- App 0.41.0: Contacts can now be picked like mail: Shift-click takes a whole run, a right click opens what to do with the chosen ones, Esc lets go.
- App 0.41.0: Give a colleague a ready-made limit in one click: a broker sees only their own contacts, an assistant sees no commission and deletes nothing, a trainee only reads.
- App 0.41.0: The GwG check asks whose money it is — the party's own or someone else's — with the beneficial owner and how you established it, and the activity says so.
- Platform 0.26.0: A GwG check can only be marked complete once it says whose money it is and how that was established.
- App 0.40.3: When a consent confirmation e-mail cannot be sent, the contact's page says so and keeps saying it until the next try.
- App 0.40.3: Starred boards and deals now appear under "Favoriten" in the sidebar, follow you to every device, and starred boards come first when you pick a board.
- Platform 0.25.4: Starred boards and deals are kept with the person, so the stars follow them to every device.
- App 0.40.0: On a phone the contact search uses the whole row, and a contact's page tells "link a company" apart from "new company".
- Platform 0.25.1: The demo deals in a new workspace now come in the language of the person who opened it.
- Platform 0.25.1: The app knows whether it may open a company workspace itself, so it can offer to request one instead of refusing after the name was typed.
- App 0.33.16: Your profile now lets you ask for your account's deletion and explains what stays with your company.
- App 0.27.0: A contact's page shows all their consents in one place, each with when and where it was given.
- App 0.26.1: Filtered contact lists keep people under their company's name, so a search never hides who someone works for.
- App 0.25.0: Contacts can be filtered on every board, and a phone number is found however it was typed.
- App 0.25.0: Ticked contacts go onto a board or off it in one step, and a wrong pick can be undone.
- App 0.25.0: Mentioning a colleague with @ in a deal comment or contact note tells them straight away.
- App 0.25.0: Contacts on a board offer the full menu right there, with no detour through all contacts.
- App 0.25.0: Contact boards sit in the sidebar, one click away, just like deal boards.
- App 0.25.0: A completed anti-money-laundering (GwG) check names the colleague who finished it, ready to show an auditor.
- App 0.25.0: A person's page keeps notes and logged calls with who wrote them and when, so no conversation goes untracked.
- App 0.25.0: Person notes save as soon as you click away, just like company notes.
- App 0.24.4: On a phone, each contact in the list carries its number and a call button, so a call is one tap away.
- App 0.24.4: Deleting a company now says plainly that its people stay in your contacts, just without that company.
- App 0.24.4: Contact edits are marked saved only when they truly are, and colleagues' changes appear in an open record as they happen.
- App 0.24.4: Your private contacts now open reliably every time, with no reload needed to see your own list.
- Platform 0.15.0: Contacts can be followed too, so new notes, calls and changes to marketing consent reach the right colleagues.
- Platform 0.15.0: Cards in your personal space stay in step across all your open browser tabs, without reloading.
- Platform 0.15.0: The contact list can be filtered, and a phone number is found however it was typed.
- Platform 0.15.0: Boards keep updating for everyone even when one person's deal change cannot be saved.
- Platform 0.15.0: Each person keeps a running thread of notes and logged calls, so every conversation leaves a trace.
- Platform 0.15.0: Tools connected to your workspace hear only what the whole team sees, so personal matters stay private.
- Platform 0.14.5: Contacts and companies always show what is saved, and you are told when a change did not go through.
- App 0.13.1: The company settings page now explains what you manage and gives you a reference to copy when you contact support.
- App 0.11.4: Company settings show your account status plainly in your language, and support can look up your workspace again when you ask.
- App 0.11.4: Adding notes to a company puts the cursor straight into the box, just as on a person's page.
- App 0.11.4: The consent confirmation page waits for your contact's own click, so every consent is truly theirs.
- App 0.11.4: The contact list sorts by surname, and your search survives a reload and can be shared with a colleague as a link.
- App 0.11.4: A deal kept for its GwG check now says so when you try to delete it, and suggests "Verloren" instead.
- App 0.11.4: A deal's extra details read in plain words, including how far its GwG check has come.

… and 18 older changes.
