# Import & OpenImmo: your old system’s export becomes your stock, in one go

> Move contacts, objects, photos and documents from your previous software, as OpenImmo ZIP, Excel or CSV, with a preview, no duplicates, live progress and undo.

**Status:** Available — In every workspace, documented here, with its changes listed on its page.
**On the broker’s path:** Platform
**Pets that work here:** Guide

**The problem this solves:** The old CRM hands over a ZIP with an XML and two thousand photos; the new one says "too big" or imports duplicates.

**In short:** Moving from another CRM starts from one Import entry: drop the OpenImmo ZIP
or the spreadsheet, see what will land before it lands, and your contacts, objects, photos
and documents arrive together — without duplicates, with their owners and the colleague who
looked after them. „Importe“ shows every import, what it created, the rows that need a look,
and takes a wrong import back.

## What you can do

- **Import an OpenImmo export** as it was in your old system, down to the neighbourhood,
the energy certificate and the virtual tours.
- **Import spreadsheets.** Columns find their fields and say why they fit; a column nobody
knows becomes a custom field of your own in one click.
- **Keep people straight.** Importing again never makes a second contact, even when the old
system wrote a phone number differently; a „Betreuer“ column is matched to your colleague.
- **Watch and undo.** A large file is taken over in the background; „Importe“ shows how many
records are through, live, says plainly when one was interrupted, and takes a wrong import
back after saying exactly what would go and what stays.
- **Re-import safely.** A second run updates only what an earlier import wrote; what your
team changed stays and is shown as a conflict.

## How it works

Import suggests which of your columns goes to which field, shows a preview you confirm, then
takes the records over — with an undo as long as nothing else depends on them. OpenImmo
archives work up to your plan's upload size.

## Limits and notes

- What arrives depends on what your previous software exported; the
[OpenImmo](https://docs.capitality.io/integrations/openimmo/) page says what moves over and what you keep.

## Frequently asked questions

### How do I move from my old real estate CRM to Capitality?

Export your stock from the old system as an OpenImmo ZIP or a spreadsheet and drop it on
Capitality's Import entry. You see what will land before it lands; contacts, objects, photos
and documents then arrive together, with their owners and the colleague who looked after them.

### Which file formats can I import?

OpenImmo ZIP archives, Excel and CSV. OpenImmo archives work up to your plan's upload size.

### Does importing create duplicate contacts?

No. Importing again never creates a second contact, even when the old system wrote a phone
number differently, and a second run updates only what an earlier import wrote.

### Can I undo an import?

Yes. „Importe“ lists every import and takes a wrong one back after saying exactly what would
go and what stays, as long as nothing else depends on the records.

## New in this feature

- App 0.42.0: „Importe“ shows an import while it is still being written — how many records are through, live — and an interrupted one with what to do.
- App 0.41.0: After an import, its notice now opens just the contacts or objects it brought in, so you can check them at once instead of searching the whole list.
- App 0.41.0: A contact, company or object that came from an import now says so on its page, with one click to everything else from that import.
- App 0.41.0: A new „Importe“ page shows what each import created or filled in, opens exactly those records, and lists the rows that need a look.
- App 0.41.0: A wrong import can now be taken back from the „Importe“ page — after it says exactly what would go and what stays.
- App 0.41.0: An object's condition, occupancy and type now always read in your language, also for objects imported from other software.
- Platform 0.27.0: During a parallel run, re-importing contacts now updates what only an earlier import wrote, while anything your team changed stays and is shown as a conflict.
- Platform 0.27.0: A large import now shows how far it is while it is being written, and says plainly if it was interrupted.
- Platform 0.27.0: An import now keeps who looked after each contact and object: a „Betreuer“ column is matched to your colleague, and a name nobody here has is reported instead of guessed.
- Platform 0.27.0: Large imports finish properly: a big file is taken over in the background instead of timing out, and the import screen says the rows are on their way.
- Platform 0.27.0: Importing the same list of names again no longer makes every person a second time.
- Platform 0.27.0: Importing again no longer makes a second contact when the old system wrote a phone number differently.
- Platform 0.26.0: When you import objects from your old CRM, their virtual tours come along instead of being lost or turned into broken photos.
- Platform 0.26.0: Imports now keep German dates, Excel dates and a contact's role at their company, which were quietly left out before.
- Platform 0.26.0: An import with street and house number in one column now fills both fields, so „Hohe Str. 1“ arrives as street and number.
- Platform 0.26.0: While a firm still works in its old system, importing again now brings over changed object details, and leaves everything someone edited here untouched.
- App 0.40.0: The quick search now shows the icons for Signatures and Import, like every other page it lists.
- Platform 0.20.3: Photos and documents stay with their properties when you run the same import again.
- Platform 0.20.1: Every property page shows a contact person and its photos, including objects created by an import or a pet.
- App 0.33.16: The "Import finished" notice now opens what you imported, your contacts or your properties.
- App 0.33.14: Import columns that already found their field now say why they fit, and ask only where a choice is open.
- App 0.33.13: The import explains each column match in plain words, and a column added as a new field asks where it belongs.
- App 0.33.10: Columns from your previous software land on the right kind of record as custom fields, each with a fitting type.
- Platform 0.19.11: The "Import finished" notice takes you straight to what was imported, contacts or properties.
- Platform 0.19.8: One import file can now bring properties, units and offers together, and new custom fields come with a suggested home.
- App 0.32.0: Properties now show their owner plainly, and an import from another CRM links each property to its owner.
- Platform 0.19.2: OpenImmo imports from another broker system bring each object's owner along, linked and with contact details.
- App 0.28.8: An imported offer now shows its availability as written, such as "by arrangement", or as a proper date.
- Platform 0.17.12: Imported listings arrive the way they were in your old system, down to the neighbourhood and the energy certificate.
- Platform 0.17.11: Only listings that truly fit a saved search go out on their own, and re-imports ignore mere spelling differences.
- Platform 0.17.11: Open enquiries can be handed to the right pet or taken back by a person, and the most urgent go first.
- App 0.28.6: Import matching tells same-named columns apart, and on a sale a company can be the buyer, seller or agent.
- Platform 0.17.4: Lists always load, and imports point out any row that is missing something while the rest goes through.
- Platform 0.17.3: After an import, the Properties and Listings pages show every property it brought in.
- App 0.28.0: Moving from another CRM starts from a clear Import entry, and your contacts, properties and photos arrive together without duplicates.
- App 0.27.0: Import and portal settings now explain how to handle old portal ads after a move, so no property is advertised in duplicate.
- Platform 0.17.0: Everything a pet did on its own is listed day by day, and any of it can be taken back.
- App 0.25.0: Contact lists show only the columns you want, board by board, while colleagues keep their own choice.
- App 0.25.0: Custom fields marked for the table appear as columns in the contact list, so a buyer's budget is readable at a glance.
- App 0.25.0: Every message, from import results to keyboard hints, reads as plain words in your language.
