# Sequences & templates: follow-ups that go out on time, in the right words

> Follow-up sequences that start from a board, send in office hours, skip weekends and public holidays, greet by name and language, and sign with your signature.

**Status:** Beta — Complete for the first firms using it; details may still move.
**On the broker’s path:** Leads & enquiries

**The problem this solves:** Follow-ups depend on memory; the third mail never goes out, and every broker writes the same letter again.

**In short:** A sequence is a series of mails with steps and timing. It can start by itself
when a person is put on a contact board, sends each step at a set time within office hours,
skips weekends and the public holidays of your state, and greets every person by name and
in their language. Templates are yours to edit, language by language.

## What you can do

- **Start sequences from a board.** „Kontakt zum Board hinzugefügt“ starts the sequence;
removing someone from it can be undone, and opt-outs are listed apart from real failures.
- **Time every step.** At a set time, within office hours, skipping weekends and public
holidays — your firm's federal state is already chosen.
- **Write once per language.** Each language of a template has its own subject line and
wording; any template can be duplicated as a start for your own.
- **Greet people properly.** „Frau“ or „Herr“ on the contact becomes „Guten Tag Frau
  Kunz,“ in every follow-up.
- **Sign every mail the same way.** Your e-mail signature lives in one place and closes
every automated mail sent in your name.
- **See what goes when.** The participants list says when each person's next mail goes —
„tomorrow, 09:30“ — in German time, also on a phone.

## How it works

Mails go out in the name of the colleague in charge, from the firm's sending domain or
from the broker's [own mailbox](https://docs.capitality.io/integrations/mailbox/) when one is connected. A sequence
reminds you if your company's legally required e-mail details are still missing before it
starts.

## Limits and notes

- Sequences send to people with a consent to be written to; an objection stops them.
- Archiving a template that a sequence still uses asks first and makes clear the sequence
  keeps sending it until replaced.

## New in this feature

- App 0.42.0: A sequence can now start by itself when you put a person on a contact board — „Kontakt zum Board hinzugefügt“ is back in the editor.
- App 0.41.0: Going on holiday? Enter your days away and a deputy under „Anfragen & Antworten“ — your new enquiries and reminders go to them until you are back.
- App 0.41.0: When a sequence step should skip public holidays, your firm's federal state is already chosen.
- App 0.41.0: A sequence's participants list says when each person's next mail goes — "tomorrow, 09:30" — in German time, also on a phone, and shows the step's send rule beside it.
- App 0.41.0: Keep your e-mail signature in one place, and every automated mail sent in your name closes with it.
- App 0.41.0: Each step of a sequence can now go at a set time, within office hours, and skip weekends and the public holidays of your state.
- App 0.41.0: Each language of a template now has its own subject line, so English-speaking contacts no longer get a German subject.

- App 0.37.3: Leaving a sequence with unsaved changes now asks first, and an empty template list says there is nothing to choose yet.
- App 0.25.0: A market update or open-house invitation goes to chosen contacts in one send, with their consent respected as in sequences.
- App 0.25.0: Email template details save as you go, like the rest of the app, so nothing waits on a final click.
- App 0.25.0: Removing someone from a sequence can be undone, and people who opted out are listed apart from real failures.

- App 0.23.1: The exposé guide on capitality.io now offers free Word templates for a flat and a house, with a filled-in example.
- App 0.13.1: On a phone, every dialog now fits the screen, from the template preview to the property and listing forms.
- App 0.11.4: Archiving a template that a sequence still uses asks first and makes clear the sequence keeps sending it until replaced.
- App 0.11.4: Every follow-up sequence mail now closes with your company's Impressum details from your company settings.
- App 0.11.4: Sequences show calmly when a contact objected to advertising, so real sending problems stand out.
- App 0.11.4: Contacts left out of a sequence now link to their pages, so missing consent or addresses are quick to fix.
- App 0.11.1: Page names in the top bar now match the menu, so listings read "Inserate" and sequences "Sequenzen".
- App 0.11.1: Sequences count the way you speak, and their windows hold all their content without spilling over.
- App 0.11.1: The template preview shows each e-mail as your contacts will receive it, fully laid out.
- Platform 0.7.3: An exposé mail greets your contact once, whether you write your own greeting or not.
- Platform 0.7.2: German exposés list their fittings in German and open their covering e-mail with a proper greeting.
- App 0.10.0: Adding contacts to a sequence shows up front who cannot receive it without consent, and how to fix that.
- App 0.10.0: A sequence's contact list shows why anyone stopped receiving it, so nobody drops out unnoticed.
- App 0.10.0: Starter e-mail templates tell advertising apart from everyday updates, so marketing consent applies exactly where it should.
